Time blindness at work

Stop estimating and start measuring. Time your normal tasks once, write the real numbers down, and quote those instead of your instinct — which is reliably optimistic. Then set alarms for departures, not for deadlines.

The instinct will keep being wrong, and trying harder to estimate accurately does not work. What works is replacing the estimate with a measurement.

Alarm the departure, not the deadline

A calendar reminder at the meeting time is useless. The useful alarm is the one that says leave now, and it needs to account for the getting-ready that always takes longer.

Make elapsed time visible

A clock you can see, or a timer counting down in view. The problem is not caring about time, it is that time passes without registering.

An analogue clock works better than a digital one for many people, because the movement shows the passing rather than stating it.

Buffer as a rule, not a feeling

Add fifty percent to anything you have not measured, and say the padded number out loud when you commit.

Delivering early is a reputation. Apologizing for late is also a reputation, and it is the expensive one.

Ask for the deadline that is real

"Is Friday the real deadline or the comfortable one?" is a normal question, and the answer changes how you plan.

Does this get better with practice?
The measurement approach gets easier. The underlying sense of elapsed time is not something people report improving much, which is exactly why the fix is external.
What about being late to everything socially?
Same fix — alarm the departure, not the event. And tell people, because a friend who knows will pick a meeting point rather than a time.
Is asking for deadlines annoying?
Asking once, clearly, is much less annoying than missing one. Most managers prefer the question.
